Referrals - How it works

This help guide explains how you can leverage connections on Insource to send out referral requests to colleagues and track them

The Referral Request Function

When you want to examine connections against a candidate you may be interested in, you will now see that there there is a referral request button. Available in table view only. More about table view here.

This means that you will be able to send a referral request to a potential referrer in your business. The referrer will be a colleague of yours. In this mock example, you're able to send a referral request to Simon Tribble to advise him that you would like him to reach out to Raymond as they are connected.

As soon as you send a referral request (more on that in section below) you will be able to see that a referral request was sent to your colleague. In this screenshot - Simon Tribble.

The Referral Request Email

Once you click the request referral button, you will be greeted with a pop-up to send the referral request email to your colleague. In this example, Simon Tribble.

The content of the email is already populated for you where it specifies to your colleague that Simon worked with Raymond for a period of time and for what role you think the candidate may be a good fit for.

You are able to edit the email contents on the left which automatically updates the email you would send, on the right.

Once you click 'send now', this email will be automatically sent for you to your colleague, Simon. If he wishes to reply to your email, he can do so, by clicking the big orange "Reply to Claire (your name) at Dentons" button if they choose.

Alternatively, you may want to use your standard email provider (e.g. Microsoft Outlook) by clicking Send via Email at the top. This will automatically open your Outlook with the pre-populated email.

How does the referrer (your colleague) reach out to the candidate?

Once your colleague receives your email it is totally up to them how they wish to take this further. They may choose to reach out to their connection via email, LinkedIn, text, phone call, social media - whatever they deem appropriate.

It will be up to you the user to follow up with your colleague to see if the candidate is interested. Whatever the response you can track all this in Insource so you don't have to use spreadsheets or other methods to keep tabs on your referral requests.

How to track referral requests

As soon as you send a referral request to a colleague via email, this is automatically tracked in Insource as a referral request. You can see and manage all your referral requests from your referral board. You can get to this board via the Dashboard

You can see your list of referrals here. You will be able to see the name of the candidate, a bit about them, the referrer, the status of that referral, the timestamp of the referral status, for which role and whether the referral is active or inactive.

Managing your referral status

As soon as an email is sent to your colleague the default status on the referral board will be 'Refer request sent'. If you are progressing the candidate further through the recruitment process, you can also change the referral status by clicking on the pencil icon to update the referral status

Active vs Inactive referrals

All active referrals are those that are currently associated with a live role. As soon as a role is archived a referral will automatically become inactive.

You can also choose to manually make a referral inactive if your active list is getting to large and you want to keep your list tidy so you can keep on top of the candidates you are actively tracking.

You can manually change your referrals to inactive by clicking on the bell.

That candidate will now appear in the inactive tab.

Expanded profile view to see referral requests

There is another way to view all the referral requests pertaining to one candidate.

If you go to the expanded profile view and click on the referral tab, then you can see the list of referral requests about that candidate sent to your colleagues.
